Buying Industrial Parts from China 鈥?A Complete Sourcing Guide

2026-08-01

Why source directly from Chinese manufacturers?

Direct factory sourcing eliminates distributor margins. For agricultural wear parts, seals, PU components and standard hardware, savings can be 30-60% versus buying from local distributors.

1. Verify the supplier

Check factory registration, export history, and ask for recent product photos from the production line (not catalog renders). A video call showing the workshop is worth more than any certificate. Order 50-200 piece samples before volume orders.

2. Understand MOQ

Standard fasteners: 1,000-5,000 pcs/size. Custom PU parts: 50-200 pcs/design. Oil seals: 100-500 pcs/size. Knife sections: 500-1,000 pcs/model. Many factories negotiate MOQ on first orders.

3. Payment terms

Standard: 30% deposit + 70% before shipment (T/T). Repeat orders: 30% deposit + 70% against B/L copy. L/C available for orders >$20,000. Avoid 100% upfront on first orders.

4. Shipping and Incoterms

FOB: Factory delivers to port, you arrange freight. CIF: Factory arranges shipping to your port. For small orders (<200kg): air freight via DHL/UPS/FedEx often more economical than sea freight.

5. Avoid common pitfalls

No tolerance specified: Always cite ISO/DIN/JIS standard. No corrosion protection: Ask for VCI packaging or oiled finish for steel parts. No pre-shipment inspection: Request photos of packed pallets before balance payment.

6. Lead times

Samples: 3-7 days (stock) to 10-15 days (custom). Bulk: 15-30 days after deposit. Sea freight to EU/US: 25-35 days port-to-port.

Bottom line: verify with a video call, confirm via sample, negotiate safe payment terms, and specify VCI packaging. Send us your requirements and we will guide you through the full process.
